How Magic Web Studios handles information across this website, contact and quote forms, Ava chat, browser Voice, and connected CRM services. Effective and last updated: August 10, 2026.

Scope and who we are

This Privacy Policy describes how the business operating under the Magic Web Studios name ("Magic Web Studios," "we," "us," or "our") handles personal information through magicwebstudios.com, our contact and quote forms, Ava chat and browser Voice experiences, and related customer systems that link to this Policy.

This Policy does not govern a client's own website or system unless Magic Web Studios is identified as the party responsible for that information. When we process information only on a client's instructions, that client controls the information and its privacy notice applies.

Information we collect

Depending on how you interact with us, we may collect:

  • Contact and business information: name, business email, phone number, company, role, service interests, timing, and project or quote details.
  • Conversation information: messages, selections, call or Voice input, and summaries or transcripts when a hosted Voice or chat experience tells you that recording or transcription is active.
  • Device and usage information: IP address, browser and device type, pages requested, timestamps, referring page, diagnostic events, and security logs.
  • Preference and consent information: theme preference, communication choices, consent version, privacy/terms links shown, and request status.
  • Client and transaction records: proposals, approvals, invoices, support history, project files, and account information when you become a client.

Please do not provide passwords, government identifiers, full payment-card or bank details, health information, or other sensitive personal information through a public form, chat, or demo unless we provide a specifically approved secure channel.

Where information comes from

We collect information directly from you, automatically from your browser or device, from a company you represent, from clients that ask us to provide services, and from service providers that support our website, CRM, communications, security, and project delivery. We may also receive public business information from company websites, directories, and professional platforms when evaluating or serving a business request.

Why we use information and our legal bases

We use personal information only for defined business purposes, including:

  • Steps requested by you and contract performance: preparing a quote, responding to an inquiry, delivering services, supporting an account, and billing.
  • Consent: activating microphone-based Voice input, recording or transcribing a conversation where consent is required, and sending optional marketing communications. You may withdraw consent for future processing.
  • Legitimate business interests: securing and improving the site, preventing fraud or abuse, maintaining CRM history, measuring service quality, and operating efficient business workflows, after considering the effect on your rights.
  • Legal obligations and legal claims: tax and accounting records, responding to lawful requests, enforcing agreements, and protecting rights and safety.

Where a law requires a different legal basis, we use the basis required in that jurisdiction. We do not treat a request for a project response as consent to unrelated marketing.

Forms, quotes, and communications

When you submit a contact or quote request, we use the details to respond, organize the opportunity, prepare a proposal, and create or update a record in our connected CRM. A submission may generate an internal team notification. Transactional responses about your request are separate from optional promotional email or text messages.

If we later offer marketing subscriptions, those controls will be optional and separate. You can opt out of marketing using the unsubscribe method in the message. We may retain a minimal suppression record so we continue to honor the choice.

Ava chat and browser Voice

Ava is an automated assistant, not a human. In the browser demo, speech recognition and speech playback are provided by capabilities in your browser or operating system. Your browser will request microphone permission before listening. Browser and device vendors may process audio under their own terms; Magic Web Studios does not control those vendor services.

The local guided demo can respond without creating a lead. Information is sent to our CRM when you deliberately submit a form, request a handoff, or use a production widget that explains its submission behavior. A hosted Voice or telephone experience may create a transcript, summary, or CRM record only after the disclosure and consent required for that channel. You may stop the microphone or use typed chat instead.

AI-generated replies can be incomplete or incorrect. We use human review for quotes, final commitments, and decisions that materially affect a person. We do not use this website's AI demos to make solely automated decisions that produce legal or similarly significant effects.

Cookies, local storage, and analytics

We use limited browser storage for necessary functions and preferences, such as your light or dark theme. Hosting and security services may create server logs needed to deliver and protect the site. Fonts and other assets may be requested from third-party networks, which can receive technical request data such as an IP address and user agent.

If we enable non-essential analytics, advertising, or session-replay tools, we will identify them in an appropriate notice or preference control and request consent where required. You can restrict cookies and site permissions in your browser, although some functions may stop working.

Because there is no consistent industry standard for legacy "Do Not Track" signals, the site does not respond to them. The current site is not configured to sell or share personal information for cross-context behavioral advertising, so an opt-out preference signal does not change that behavior. If a future configuration creates a use covered by Global Privacy Control or another legally recognized signal, that signal must be honored before the use is enabled.

How we disclose information

We may disclose relevant information to:

  • vendors that provide hosting, content delivery, security, CRM, email, Voice, AI, analytics (if enabled), project delivery, accounting, and professional services;
  • the business or client on whose behalf we provide a clearly identified service;
  • government authorities, courts, or other parties when required by law or reasonably necessary to protect rights, safety, security, or investigate misuse; and
  • a successor in a merger, financing, reorganization, or sale, subject to appropriate confidentiality and notice requirements.

Service providers may use information only for the contracted service or as otherwise permitted by law. We do not disclose passwords or full payment-card numbers because this website does not ask you to submit them.

Sale, sharing, and targeted advertising

We do not sell personal information for money. We do not use information submitted in a contact form, Ava chat, or Voice request for cross-context behavioral advertising. If a future production configuration creates a legally defined sale, sharing, or targeted advertising use, we will update this Policy, provide any required opt-out method, and honor legally recognized preference signals.

We do not knowingly sell or share the personal information of anyone under 16.

Retention

We retain personal information only as long as reasonably necessary for the purpose for which it was collected, including to maintain an inquiry or client relationship, deliver services, honor preferences, secure the site, satisfy tax or accounting obligations, resolve disputes, and enforce agreements. The period depends on the record type, the relationship, legal limitation periods, contractual obligations, and whether an issue or legal hold is active.

When information is no longer required, we delete, de-identify, or securely isolate it. Backups and provider systems may retain protected copies for a limited recovery period.

Security

We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information, including access controls, secure transport, service provider review, and monitoring. No website, transmission, or storage method can be guaranteed completely secure. If you believe information has been misused, contact us promptly through the secure contact form.

Your privacy rights

Depending on where you live and subject to legal exceptions, you may have the right to request access to, correction of, deletion of, or a portable copy of personal information; to know categories, sources, purposes, and recipients; to object to or restrict certain processing; to withdraw consent; and to opt out of sale, sharing, targeted advertising, or certain profiling.

California residents may also request the categories and specific pieces of personal information collected, deletion or correction, and information about disclosures, and may exercise applicable opt-out rights without discriminatory treatment. We will not deny service, charge a different price, or provide a different level of service because you exercised a privacy right, except as permitted by law.

California notice at collection

At or before collection, California residents may review the categories described in "Information we collect," the sources in "Where information comes from," the purposes and legal bases above, the recipient categories in "How we disclose information," and the retention criteria in "Retention." In the preceding twelve months, the categories this site is designed to collect are identifiers and contact details, business and commercial information, internet or network activity, audio or conversation information when a disclosed Voice feature is used, and inferences limited to service interests and likely next steps.

We do not currently offer a financial incentive or price difference in exchange for personal information. If that changes, we will provide the separate notice and consent required by law before enrollment.

How to make a privacy request

Use our secure contact form and place "Privacy request" at the beginning of your message. Describe the right you want to exercise and the email or business relationship involved. We may ask for information reasonably necessary to verify your identity and authority. Do not send identity documents unless we request a secure method.

An authorized agent may submit a request where permitted by law. We may ask for proof of authorization and may verify the request directly with you. We will respond within the period required by applicable law and explain any denial or extension.

Sensitive information and children

Our services are intended for businesses and adults. The site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child submitted information, contact us so we can review and delete it as required.

We do not use sensitive personal information submitted through this site to infer characteristics about a person. Please avoid including sensitive information in project descriptions or demo conversations.

International processing

We and our service providers may process information in the United States and other countries. Privacy protections may differ from those where you live. Where required, we use an approved transfer mechanism and contractual or organizational safeguards.

Changes to this Policy

We may update this Policy to reflect changes in our services, technology, vendors, or legal requirements. We will post the revised date and provide additional notice or seek consent when required. The version in effect when information was collected continues to govern where the law requires it.
